What to include on a cleaning invoice
- Your business name and contact details.
- The client's name and service address, including the suite or floor for offices.
- Invoice number, date and due date.
- The service period or the dates of each visit.
- Regular visits, add-ons and one-off deep cleans on separate lines.
- Supplies or consumables, if you bill them.
- Any cancellation or lockout fee your agreement allows.
- Payment terms and accepted payment methods.
Per-visit or monthly billing
Per-visit billing (2 visits at $160) is simple and fair when schedules vary. A flat monthly rate is easier for clients to budget and evens out months with five visits: weekly service at $160 works out to about $693 a month ($160 x 52 / 12). Either way, put the visit count or dates in the description so the client can check it.
Office contracts are usually billed monthly, so say whether you bill in advance or in arrears. On the free plan, duplicate last month's invoice from local history and change the dates. Pro can create recurring invoices and email them on a schedule.
Supplies, add-ons and cancellations
Most house cleaners include standard products in the visit price and charge only for special requests. Commercial contracts often bill restroom consumables such as paper goods, soap and liners separately, at cost or with a small markup. Sales tax on cleaning depends on your state: some states tax commercial janitorial services but not house cleaning, so check with your state revenue department.
If your agreement includes a lockout or late-cancellation fee, bill it as its own line with the date. The free cleaning invoice can also be downloaded as a Word, Excel or PDF file.

Frequently asked questions
Should cleaners bill per visit or monthly?
Per-visit billing suits clients with irregular schedules or occasional deep cleans. A flat monthly rate suits regular weekly or biweekly service, because the client pays the same amount every month and five-visit months even out. Whichever you choose, list the visit count or dates on each invoice.
Do cleaning services charge sales tax?
Some states tax cleaning services, particularly commercial janitorial work, while others exempt them or tax only the supplies you resell. Rules can differ between residential and commercial jobs in the same state. Check with your state revenue department and use the taxable toggle on each line.
How do I bill a first-time deep clean?
Bill it as a separate one-off line, priced by the job or by the hour, before the recurring visits start. A first clean often takes one and a half to two times as long as a maintenance visit, so a higher price is normal. Note that later visits will be billed at the regular rate.
Can I charge for a lockout or late cancellation?
Yes, if the fee is in your service agreement and the client accepted it. Many cleaners charge part or all of the visit price when they can't get in or the client cancels at short notice. Bill it on its own line with the date so it isn't mistaken for a completed clean.
How do I invoice a recurring cleaning client each month?
Duplicate last month's invoice from your local history, update the dates and visit count, and download the new PDF. With Pro, recurring invoices are created and emailed on a schedule, and automatic reminders follow up on any that go unpaid.
