What a rent receipt should show
- Tenant's name
- Landlord's or agent's name and contact details
- Property address, including the unit number
- The period the payment covers, such as October 1–31, 2026
- Amount received, and any balance still owed
- Payment method: cash, check number, money order number or transfer reference
- Date received
- Signature and title of the person who received it
Use one line per charge, so rent, parking and late fees stay separate. The signature line goes in the notes.
States that require rent receipts
Rules vary by state, and some cities add their own. Examples:
- New York: landlords must give a written receipt for rent paid in cash or by any instrument other than the tenant's personal check, such as a money order. It must show the date, amount, premises, period covered and the receiver's signature and title. Tenants paying by personal check can request receipts in writing (Real Property Law § 235-e).
- Maryland: a receipt is required when the tenant pays in cash or asks for one (Real Property § 8-205).
- Massachusetts: landlords must give receipts for a security deposit and for last month's rent collected in advance, with specific contents (M.G.L. c. 186, § 15B).
- California: tenants are entitled to a written receipt for rent they pay (Civil Code § 1499).

Cash payments and record keeping
Cash leaves no bank record, so a receipt is the tenant's only proof of payment and the landlord's best evidence in a dispute. Issue it at the time of payment, number receipts in sequence and keep copies. New York, for example, requires landlords to keep records of cash rent receipts for at least three years. For late rent, the late fee calculator works out the amount; check your lease and state limits before charging one.
Frequently asked questions
Do landlords have to give rent receipts?
It depends on the state and how rent is paid. New York, Maryland and Massachusetts require receipts in specific situations, and California lets tenants demand one. Even where it isn't required, a receipt for every cash payment protects both landlord and tenant.
Does a rent receipt need a signature?
It's good practice, and New York requires the signature and title of the person receiving rent on the receipts it mandates. Fill in the signature line in the notes, then sign the printed receipt, or sign the PDF in a PDF reader before sending it.
Can one receipt cover several months?
Yes, if each month appears on its own line with its amount, such as three lines for October, November and December. For a partial payment, show what was received and the balance still owed, so there's no doubt later about what the payment covered.
What if the tenant pays by bank transfer or an app?
Electronic payments leave their own record, but a receipt still ties the payment to the property and rental period. Put the method and the transaction reference in the notes, for example “bank transfer, ref. 8F2K19”, so both sides can trace it.
Should a security deposit get a separate receipt?
Yes. Give the deposit its own receipt, labeled as a security deposit, with the amount, date and property. Massachusetts requires a signed deposit receipt, and most states set rules for returning deposits, so keep this record until the deposit is settled.
